Hi ALL. ( potential BXAGONERS)

Just a quick thought there are a lot of classic car events that go all around europe and they must have some sort of insurance system that allows them to do the runs.
Just another possability the company that offers BX club members insurace discounts why not contact them and see if they could be a named sponsor by providing the insurance for the event as they would get advertising on each and every car. (And as a group policy for the event they would be able to save money) Worth a try!

A few years ago my brother competed in the italian job run which is also a charity event and i know the organisers of that event.

I will try and get in touch with them and find out any useful information.

Excellent. Let us know how you get on. I believe re: insurance, we - as organisers (or more accurately facilitators) of the event would be advised to get some liability insurance. Not quite why - but it seems the sensible thing to do. (I will contact Footman James once I've got 'clearance' form Jon and co.).

There is a mini show in Worthing this sunday and i know the organisers of the italian job run will be there. So i will go along and have a chat with them and report back.

Can you find out how they dealt with overnight accommodation. My thoughts are that each team has the responsiblity to make each stage and book the appropriate room(s). Otherwise someone's left booking the lot. Not something I'd want to do (even if I did have a big credit card!)...

Likewise, crossing, the event (as I envisage it) would start at a convenient location on the outskirts of Calais at a set time. This venue would in all liklihood best be a Hotel (unless everyone can arrive together!)...

I suggest each entrant donates, say £200 or more to the charity. They can raise that how they wish- their own money, sponsorship from friends, bank loan/heist etc.

the interesting route planning and stuff can then be kept separate, this reduces the work load for Phil.

For accomodation I recommend Etap Hotels, 1, 2 or 3 persons per room (as they choose.) cheap, at about 45 euros per room, but clean and comfy, and would have probably enough rooms for all in each hotel if booked in advance.
I have made several long European trips using this chain extensively.
They usually have secure parking too.
(Each person should make their own prior booking though, and team up if they want to share a room.)

An good meeting point would be the big carpark at Eurocity by Eurotunnel.
It is easy to get to from Calais, the Tunnel or Boulogne.

I agree that CB radios in the cars could be very useful and much fun.

The massive Schlumpf car collection is worth while visiting, plus there is Manoir De L'Automobile near Rennes who have a race track.
(I have not been to that one yet, we could get some track time perhaps.)

1, Insurance (event and individual)
2,Accomodation. possible named sponsors
3,Crossing (ferry or Tunnel) possible named sponsors
4,Track events for fun
5,Backup crews
6 Breakdown cover, possible named sponsors

can anyone else think of things to find out about.
bearing in mind that the italian job charity run has been going for quite a few years now.
They should be able to steer us clear of a lot of problems.

Glad to see your sense of humour isn't affected.
The main problem with that is the Italian job charity run starts in ITALY usually Venice so places to get pissed in france won't be on their list.
Unfortunately. :wink:

Slight problem i drove down to the mini show venue and due to the very heavy rain over the last week the local council have not allowed them to go onto the grass area they normally use.
So unfortunately the show has been cancelled.
And i was unable to talk to the italian job run organisers.
I wiil however try to contact them direct and obtain as much information as i can.

Managed to speak to someone who was involved in a charity motorbike event some time back.

The essence of his advice, and what we ended up 'formulating' was:

Provide the backdrop for the event. Do not over-manage it. Ensure (and promise) that every cent given by donators goes to the charity they think it is (that is don't put into a big pot to be distributed later).

Plan the route well with options in place to divert the route in the event of bad weather etc.

Every team must be able to contact another, so mobile phones are essential (clearly).

Emphasise to all that this IS NOT A RACE. If anyone thinks it is, don't let them join. It can land the event in trouble if anything goes wrong, or if local authorities (e.g. the Gendarmerie) get a whiff that it is.

Avoid fines by driving no more than the proscribed speed limits (sounds obvious, but a couple a hundred Euro fine - not to mention the points on your licence can ruin your day).

Get, if possible, local companies to sponsor the event by providing some practical support - be it web-hosting, vouchers for services (like parts) for your team. As event co-ordinator (well, - as has been said before this should be facilitator/'enabler') approach large companies - ones that have some relevance to the activity - for event sponsorship to help avoid the need to charge an entry fee. This would pay for administration/press packs/stickers etc.

The issue of liability insurance can (probably) be avoided by a carefully worded disclaimer that each participating team must sign.

Don't under-estimate how tiring a long drive, day-after-day, can be. So each team must be strict on sharing the driving.

Every team member should have the correct insurance in place (obviously) and - this was a problem at the bike event - if anyone gets a skinful one night, they mustn't drive the following morning. So (boringly I know) don't treat it like some sort of stag do/pub crawl.

So, that's it for now. I'll wait to hear what Kermit and others come back with. I'll put it into one big melting pot and offer the result up as the Draft Plan.

Hi Phil

I have been in touch with one of the organisers of the italian job and as their event is pretty close (end of october) they are as you can imagine very busy.
What they did say was to contact the charities that you want to support as they have much more information on this than you think.
Giving them an outline of what you are proposing.
and the sort of event it is (along the lines in your previous post)
Get in contact with relavent companies
Citroen UK,
(Citroen dealers local to each member ?)
Sea France, P&O, Hoverspeed.
Euro tunnel,
Ibis (hotels)
AA/RAC/Greenflag(breakdown cover)
Media ( local TV radio papers)
Places of interest close to or on route (in this case relevent to Citroen History)
Plan your route with stop overs and alternatives (again as per your previous post)

Hope this is of assistance sorry i could not get more.
the italian job event ends in Brighton on the 1st of November i will attempt to get there and try to obtain more information then.
